How to reconcile vendor rebate credit memos against your accruals

Nov 7, 2026 · 3 min read

Short answer

List what each agreement owes by program and period. Match every credit memo, check and deduction to a specific program and period. Then chase whatever is left. The usual failures are bundled memos, memos applied to the wrong program, and partial payments that close out an accrual without anyone noticing.

Why this breaks down

Rebate credits rarely arrive cleanly. A single memo might cover a Q3 volume rebate, a price-protection credit and a return. It shows up as a PDF two months after the quarter closed. AP applies it against open invoices so the vendor balance looks right. The rebate accrual stays open, or gets cleared against the wrong number.

Six months later someone writes off the difference.

Step by step

  1. List what's owed. For each vendor, each program and each period, calculate what the agreement says you earned. Use actual purchases, not the forecast you accrued on.
  2. Log every credit. Memo or check number, date, amount, and what the vendor says it's for. Include deductions you took against invoices.
  3. Split bundled memos. If a memo covers more than one thing, break it into lines by program and period. If the memo doesn't say, ask the vendor.
  4. Match. Tie each credit line to one program and period.
  5. Sort the leftovers. Every program ends up in one of three buckets: matched in full, paid short, or not paid.
  6. Claim. Send the vendor the math: purchases, tier, rate, amount owed, amount received, difference.

An example

In our sample report, a vendor owed $126,000 for the year. The books accrued $126,000. Credits received totaled $98,400. The gap traced back to one February memo that bundled a Q4 rebate with a price-protection credit. AP applied the price-protection part. The $27,600 rebate part never got matched, and the vendor's system showed it as paid.

Nobody did anything wrong on purpose. The memo just didn't fit anyone's process.

Habits that help

  • Keep a separate accrual balance per vendor program, not one lump per vendor.
  • Have AP route any memo that mentions a rebate to whoever owns the reconciliation before it's applied.
  • Age your rebate receivables. Anything open more than two quarters gets a call to the vendor.

Common questions

How often should rebate credits be reconciled?

At least quarterly, and monthly for your largest vendors. Waiting until year-end means memos are months old, the people who handled them have forgotten the details, and claim windows may have closed.

What if a vendor won't break down a bundled credit memo?

Ask in writing for the breakdown by program and period, and reference the agreement. If you still can't get it, apply the memo against the oldest open accrual for that vendor and document what's still unexplained. An unexplained difference is a claim, not a write-off.

Can this be done in a spreadsheet?

Yes, for a handful of vendors. You need one tab for expected rebates by program and period, one for every credit received, and a match column linking them. It gets hard once you have dozens of programs or the memos arrive as PDFs that someone has to retype.
